Serves as MEOC office manager - receives all visitors, incoming mail, office deliveries and faxes.Assists in preparation of grant proposal; tracks all MEOC expenditures; and interfaces with DST finance team for tracking & monitoring.Records management includes maintaining master file of MEOC program operations and grant budget records. Primary responsibility for ordering and maintaining an inventory of program forms, counselors’ handouts, and suppliesDesigns, creates and types special cards, fliers, ads, forms, etc. for operations and special projects. Makes printing arrangements including set up, ordering and delivery.Provides IT technical support by assisting personnel with installation, configuration and ongoing usability of system hardware and software, offer daily operations and systems support to personnel, verify functionality of hardware and software components, troubleshoot hardware and software issues in person and via phone.Primary interface for all contracts and vendor arrangements; liaison to building management, initiating work orders as needed.Maintains requisitions and vendor invoices, initiates payments via DST vendor payment process. Processes local travel expense requests and reports.Prepares a variety of correspondence which includes letters, budgets, memorandums, minutes, reports, forms, proposals, newsletters, brochures, public relations materials, etc. Maintains and manages inventory of office supplies and equipmentSchedules, confirms and maintains a calendar of appointments for the Director.Manage logistics for sponsored conferences, staff meetings and the MEOC Advisory Committee meetings.
