I provided timely and accurate secretarial/administrative support to the Chair of the Department of Virology, and to other members of the research group (approximately 20 persons). I arranged all appointments and maintained the diary for the Head/Chair of the Department. I dealt with post, faxes and emails, and I handled any straightforward matters and I prioritised the remainder for the Head of the Department and I kept an efficient and up-to-date filing system. I organised meetings and rotas within the research group and externally, which included booking venues, organising speakers, preparing agendas and taking minutes, arranging audio-visual equipment and liaising with caterers. I assisted in organising conferences and making arrangements for visiting speakers. I assisted the Head of Department with his work as Chair of the WHO Committee of Variola Virus Research and as President of the International Union of Microbiological Sciences. I organised travel arrangements, registration and accommodation for the Head of Department and members of his research group to attend conferences and meetings abroad and in the UK. I organised the Departmental Staff Committee Meetings by preparing and circulating the agenda and minutes, and dealing with correspondence concerning teaching and research issues. I assisted in the process of purchase orders and the receipt of goods received. I dealt with both telephone and personal callers, taking messages and relaying appropriately.

In this role I acted as first point of contact for the department, taking external global telephone enquiries and directing academics and students and visitors to important presentations for industrial placements. In addition, I compiled and updated complete lists of departmental students and staff, I assisted in the MSc open days, receiving important guests, and I collected coursework from students and I invigilated at internal exams. I supervised the departmental archive, I carried out proof reading and I monitored foreign postgraduate students for their competence in English, I gave language assistance when arranging field trips to Spain and translated correspondence for academics when communicating with important oil contacts in French-speaking African countries. I assisted academic/administrative staff with secretarial work and data entering and I edited letters and emails to academic staff and specimen exam questions to students. I assisted in the secure storage of laptops and projectors and I organised courier collections. I also supervised the departmental noticeboards and the dispatching of confidential documents to external examiners. I was the main departmental purchaser for scientific/laboratory equipment, travel documents, catering requests, etc., using the College online procurement system. I maintained the general office photocopier and fax machine, I received and recorded petty cash, I was the ergonomics adviser for the departmental health & safety committee and I was selected to represent Imperial College at the International Student Recruitment Fair at Bordeaux, March 2006.
