•Interpret administrative decisions and policies to staff, transmit instructions with the authority of the assistant director and supervisor; Act as an intermediary for the assistant director and supervisor maintaining frequent contacts with public and private executives, professional staff and other officials. Maintain a schedule of appointments and daily schedules for Assistant Area Director and Unit Supervisors. Receive telephone calls, visitors and arranges for appointments and interviews. •Assist in planning and implementing new or revised programs, procedures, practices, and organizations. Directs the activities of assigned staff including approving all time off, overtime, and shifts schedules for subordinate personnel, and providing direction and advice to subordinate personnel on issues as required. Distribute and monitor work to an Office Secretary II and an Office Secretary I and provides supervision for these positions. Assist in the orientation and training of new employees. Type correspondence, maintains a file of confidential client/staff grievances and employee reprimands, policy drafts, statements, tables and forms from corrected copy, rough draft or oral instruction. Drafts routine and complex correspondence. Prepare and assemble materials for conferences, meetings, and seminars and coordinates registration for interagency conferences. Prepare and maintain statistical and numerical reports and records including mileage reports for the state vehicles. Prepares statistical tables, charts and reports, work-flow charts, staffing patterns, and organizational charts. Maintain confidential personnel files for Assistant Area Director. Prepare and forward out-of-state travel requests for Case Managers to Headquarters. Develop, revise and implement office procedures. Worked part-time as a residential advisor at Charles Hickey School, Waxter’s Children Center and Cheltenham Youth Facility – Weekends only.
