Office Manager Position (2013-Present)- Assists Program Manager with coordinating performance appraisals for all staff, by preparing appropriate forms and letters, assisting with the completion of the applicable forms and obtaining proper signatures. - Manages and coordinates the hiring of new staff by preparing appropriate forms and letters for new staff, preparing new hire packages, adding new staff to payroll system, and coordinating the updating of all human resource files.- Manages and coordinates payroll system, oversees payroll entry and assists Controller by reconciling payroll on a bi-weekly basis.- Liaise with SFI Benefits and Pension providers; provides year end reconciliation of accounts with Benefits and Pension providers and facilitates yearly updates of Benefit and Pension contribution rates.- Acts as a liaison between Project Manager, Controller and IT/Analyst to facilitate timely processing of agency invoices ensuring contract projections are completed accurately; prepares Quarterly Numbers Reports to agencies; consults regularly with Controller to ensure budgets and numbers are on track, assists in preparing annual reports and annual contract renewals of active contracts.- Works with Program Manager and Controller to ensure adequate stock of client materials and office supplies, and assists with monthly inventory monitoring.- Coordinates the maintenance and ordering of office equipment; identify and communicate and IT issues and needs with IT consultants.1- Coordinates Board of Directors Meetings; responsible for maintaining minutes and communications with the Board.- Assists with document development, including developing and updating office administrative SOP’s- Identifies and reports office related issues to President & COO and assists with enforcing SOP’s.- Manage and reconcile petty cash, provide reconciliation reports for petty cash to Controller.
