1. Procurement Duties: • Reviewed no less than 8 quotations per day by following 3 rules: under cost, comparative quotes attached, and payment term with a deposit no higher than 30%. • Dealt with strategic contractors for a discount, a 30-60 day payment period,... only for high quantity quotes, when the sourcing team is overloaded. 2. Showroom Business Development: • In charge of planning the showroom opening: the budget proposal, the GO materials design, food & beverage, the payment document for suppliers, the invitation guest list, and the agenda. • Be responsible for identifying customer needs and providing product advice in line with their budget via email or in a pre-booked showroom tour. • Consolidated related documents (bill of quantity, client background, supplier quotation, market price) for the CEO to make a decision on the pricing strategy of all projects. 3. Finance and Progress Report: • Reported weekly to the CEO about the bad debt collection plan of 10 to 15 projects (delay time, problems caused by who, how to resolve, person in charge, lead time) • Informed the CEO of impending work deadlines of both internal and external commitments, such as reports, presentations, conferences, and projects. • Kept track of the monthly payment schedule for payroll (7 consultants), payable debt (8 suppliers/ sub-cons), all showroom expenses, and any additional claimed bills from all BODs. 4. Administrative Tasks: • Reviewed at least 10 types of documents per day (including the contract, correspondence to clients, quotation, budget proposal, etc.) before submitting them to the CEO for signature. • Prepared the presentation file for the Board's weekly meeting and wrote an effective MOM post-meeting when requested. • Scheduled 5 to 10 appointments and meetings (including last-minute or urgent ones) per day, by understanding the order of priority or emergency. • In charge of the airplane ticket and accommodation bookings with the most cost-effective budget.
