- Ensure the work within the division is aligned to the university procedures, processes and policies. - Maintain a trusting and open relationship with the other departments within the UFS and other stakeholders. - Ensure that documentation is kept safely and securely to maintain confidentiality. - Liaise with the event coordinator on travel and accommodation for the assistant director for official business trips and conferences. - Provide administrative support to the events coordinator when compiling budgets for events. - Coordinate workshops, functions, conferences, etc. as per the Assistant Director and the division agreements. - Ensure that the booked venues comply with occupational health and safety protocols. - Arrange logistics for meetings, seminars, workshops and other event. - Provide the Assistant Director on staff contacts. - Ensure that staff appointments on the university system are submitted on time. - Work with the Events Coordinator on compiling budgets, sourcing quotes from internal and external stakeholders. - Overseeing the Student Assistants month to month activities while providing direction on the duties and responsibilities they need to fulfill. - Work on the Sporting Legends project with the service providers. - Work on Alumnet with the service providers on a weekly basis to ensure the project is ready for launch in September. - Build and maintain good and professional relationship with internal and external stakeholders. - Act as a liaison between the division, departments and the university. - Attend Events within the department and ensure that the projects are carried out smoothly. - Work on office meetings and ensure that agenda’s, invitations are sent on time. - These duties are core duties but the project coordinator can be asked to provide support within the office when needed.
