KEY RESPONSIBILITIES o Diary management: Managing 8 complex diaries to ensure meetings are scheduled in line with business requirements and that conflicts are dealt with efficiently whilst observing the needs of the individual o Mailbox management: Managing 100 – 1000 emails across 5 diverse mailboxes daily o Managing international and domestic travel including third-party sourcing and management for an average of 2 foreign trips per month o Managing stakeholders including business partners, lawyers, notaries, translators, interpreters, Business and Department Heads o Developing and implementing processes for documentation flow and archiving to maximise efficiency and ensure GDPR compliance o International and domestic event management including conferences and trade delegations; sourcing suitable venues; managing a budget; overseeing production of digital and printed marketing materials for an average of 2 international and 2 domestic events annually o Executive administrative support including expense reconciliation; formatting information, presentations and reports; preparing meeting agendas; minute taking; technical problem solving o I manage all aspects of the Co-Founder & Director of Business Development’s personal affairs including banking, household management, budget optimisation and coordinating contractor timetables; sourcing rental accommodations; researching and booking holidays; creating and maintaining filing systems Show less
