Duty Manager is the one who represent the property in front of the guests while management is not around. Being presentable and neat is a must for this position as he/she will be in direct contact with the guests to assure smooth stay and assure their return plus assuring a proper daily operation that meet with hotel’s standards and policies• Make continuous patrol around and inside the hotel to assure that everything is maintained properly.• Assure that all staff concerned is available such as, Maintenance, HK, FO and F&B staff.• Assure that all hotel’s staff are looking neat and wearing their name tags• Check all hotel’s out lets such as Restaurants, Café’s, GYM and Pool to assure that it looks neat, organized and all attendants along with supervisors are available to attend to guest needs in those out lets mentioned above.• Check the Kitchen and assure that hygiene procedures are followed and kitchen area is cleaned and neat.• Spot check on expiry dates of goods and its condition inside the fridges at kitchen along with Chef in charge.• Check the fridge temperatures along with maintenance staff.• Assure that no one is inside the kitchen with no uniform, no gloves or head cover.• Check if we have any function to assure that everything is ready according to the function sheet and assure that all concerned departments are aware of the function and F.O team are acknowledged to guide guests when needed.• Check the hotel maintenance status and report if any areas need to be maintained.• Communicate with GSA, as they should report to you for any guest request or complaints to assure that response of department concerned will be up to standard.• Handle anything illegal or wrong accrued during the shift.• Assure that hotel policy and procedures are followed.• Inspect all the arrival rooms and extra care for VIP’s. 1. Check the Lost Interface Transactions, If any Investigation and post to correct room 2. Separate the Checked-Out folios into City Ledger, Credit Card (by cards type) and Cash folios. Ensure all the City Ledger folios are available and match with the City Ledger of the Day report. If there is any discrepancy notify it in the report3. Check Correction and Adjustment vouchers to ensure that the explanations are Acceptable according to Hotel Policy and ensure all the vouchers are available as per Correction & Voucher Final Report. Forward the report and Vouchers to Front Office Manager for the approval.4. Balance the Manual Department postings with PMS Journal Printout and Control Sheet.5. Ensure that all checks which are opened in the POS system are closed before Printing the Sales Balance report outlet and make a note if there is any Miscellaneous revenue. Then print the PMS Journal by Dept. Code and balance Revenue Centre Report from POSPrepare for room rate postinga) Inform reception to ensure that no adjustments are entered while the Room/Tax posting is running and any further checkouts to be done After the Night Audit.b) Print Journal Room Tax and Service Charge. c) Run Auto Room & Tax Posting.Shut down POS Operations after all Outlets have closed and their revenues Balanced.Do File Maintenance, if system requirement in PMS & POS Balance Credit Card transaction procedures as follows:a) All Paymaster folios are balanced to zero and checked out b) Ensure that all Outlets and F/O reception Credit Cards transmission Reports are received. c) Prepare Credit Cards reconciliation report to ensure that the PMS posting balance with the Credit Card POS report.
