The role also provides administration support to office management team when needed. - Book flights and trains (Eurostar) for all team members for their rotations or for business trips (through Corporate Traveller) - Book hotels as needed (through Priority or company credit card in an emergency - Book hire cars through company account with Avis - Support colleagues in other travel needs (e.g. offer advice on best routes, speak to hotels about meeting rooms) where needed. - Ensure travel policy is followed and additional limits set by leadership team are met (rotation times / patterns) - Maintain records of all costs for commercial use. - Check invoices received from Corp traveller/ Priority. Taxi company are all correct - Use approval procedures for over-budget or unusual travel arrangements. - Advise new starters on the protocol for booking travel. - Initial contact with new starters for travel and sending them their travel and welcome email. - Liaise with the HR and Property Management teams to keep abreast of relevant movements and give support where needed. - Primary responsibility for the taxi schedule (travel to and from the airport/train station) - Maintain good working relationship with Corporate Traveller and Priority - Ensure the Team movement schedule is up to date with linked travel information - Advise travellers of potential disruptions to their journeys as and when.
