      I work as an HR Assistant at School Business Services supporting schools. I am responsible for the HR Service Desk answering general day to day HR queries. I am also responsible for the HR administration service, in which I produce contracts of employment, variation contracts and maternity letters for some of our schools as well as checking and placing recruitment adverts. Other ad hoc duties include: job evaluation, calculating redundancy entitlements, quotes and proposals. I am also responsible for creating and updating the HR Resource Centre, a website containing an HR toolkit with advice and guidance as well as model policies and documents. As part of this I create a guidance page with basic information on each HR process (such as grievance, absence management etc) and create relevant policies and model letters and templates. The HR Resource Centre also has a section on current employment law and schools' related contractual updates. I am also responsible for the internal HR for the company. As part of this I deal with the companies recruitment, including placing adverts, liaising with agencies and advertising companies, writing adverts, job descriptions and person specifications as well as arranging the interviews. I keep updated with contractual changes, such as changes in hours, pay increases etc and issue the relevant contracts. I deal with the full employee life cycle, including collating appraisal paperwork and developing the company training plan, monitoring sickness and absence, advising on day to day HR, updating the payroll spreadsheet and processing leavers. My job involves changing prioritise so it is vital to remain organised and calm under pressure.

      As part of this job I was responsible for updating the Intranet with HR related information and updates. I also helped publicise HR related events (such as the HR Bake Off, new training courses etc). I dealt with a range of individuals including Managers and Senior HR colleagues, Trade Union representatives and other DCC employees. I was also responsible for minute taking the meetings between Senior HR colleagues and the Trade Unions.       The main duties included: processing new starters, leavers, changes in contracts, pay changes, sickness and maternity. I was responsible for checking employees pay was correct and that all allowances and deductions were processed on the system. Where we hadn’t been notified of employees’ contract changes it was necessary to calculate overpayments and recover these through the system, as part of this I had to work out the gross and net pay adjustment. I regularly dealt with individuals of all professional levels on the phone, by email and through letter. I built good working relationships with many of the managers and other employees I dealt with and I was the first point of contact for all HR and payroll issues. I also dealt with external organisations such as HMRC, Department for Work and Pensions, Teachers Pensions’ and other Local Authorities. I regularly helped train new employees and helped supervise when my manager was not in the office or busy.It was important to work as a team as due to the ever reducing budget within the council the payroll teams kept being made smaller so we all had to pull together to ensure all work was completed accurately and on time in order for employees to get paid.

      My first job at Wessex was as a Co-ordinator for electrical testing for a large chain of pubs. I had to raise jobs and allocate these to a specific engineer and liaise with the site to book the job in. Once booked in it was important to maintain up-to-date and accurate records so all parties knew the job status (using spreadsheets and the in house Database). Purchase orders had to be raised for certain engineers and invoices had to be collected from others. This job gave me a lot of experience with working with the Microsoft Office programmes such as Excel, Outlook and Word and with the in-house Database. My second job was doing invoicing for the same department. I helped to cost jobs based on the labour and materials for each job, then invoiced the job and sent this to the customer. Invoice queries were part of the job, as were queries with the work completed on site, which both had to be resolved. This job provided me with more knowledge and understanding of how a business operates. Other duties included telephone skills, purchase orders for materials for the engineers, and dealing with customer enquiries.
