Project Coordinator Institute for Oil Sands Innovation (IOSI) Department of Chemical and Materials Engineering University of Alberta, Edmonton My responsibility in our group is to use my organizational skills and documentation experience to control/coordinate the project files of our active and archived projects. IOSI supports 50+ ongoing projects, each with their own sets of required documentation, meaning letters of intent, proposals, research agreements, feedback forms, annual reports, semi-annual presentations, exit forms, and final reports. I have been working on compiling, labelling, and uploading our files into a separate system (Sharepoint) for eventual access by IOSI's partners, a move which will facilitate the sharing of necessary and confidential information efficiently and securely. The technical writing and editing skills that I have been developing and improving have been utilized on multiple IOSI documents in the last year. These include: (1) IOSI annual report, which is distributed to our partners in industry and to appropriate UAlberta personnel, (2) IOSI strategic documents and summary, of which I completed the research and compiling of before polishing by the Director of our institute, and later presented to the Executive Management Committee which oversees IOSI activities, and (3) editing IOSI's proposal to Alberta Innovates, of which will allow us to continue our research program. I also liaise with engineering finance to submit and track lab indents and charges for services within the University. My general administrative tasks include answering questions related to IOSI projects, gathering signatures for information release, and recording/filing any project documentation received by IOSI by researchers. Technical Writer and Communications EOGRRC Group Department of Civil and Environmental Engineering University of Alberta, Edmonton My most important and primary responsibility was completing high-level copyediting, proofreading, and formatting the team's academic journal and conference submissions. I wrote both award nomination letters and letters of support for UAlberta awards, scientific awards, and petroleum engineering society awards. I provided day to day support to both the NSERC IRC in Unconventional Oil Recovery and his students/technicians. I liaised with a number of other departments (Human Resources, Finance, Research Services Office, Grad Student Office) in order to complete administrative tasks related to the research team. Technical Writing and Editing: I edited technical reports, award and grant nominations, PowerPoint presentations, IRC quarterly reports, abstracts, and all academic journal and conference paper submissions. I assisted the Pl in preparing reports for the University, NSERC, industrial partners, and membership renewals or contracts as well as composing a wide-variety of correspondence including letters, itineraries, and memos. Administration: I worked with Human Resources, Finance, Research Services Office, other faculties and staff members, University staff, industrial partners, and external stakeholders to meet the needs of the research team. I aided the PI in organising meetings and was responsible for setting up and communicating access to quarterly and semi-annual reports for our IRC partners. I've become an expert at creating multiple 3-6 week itineraries including travel and accommodation for the PI, and upon return, organising and submitting the resulting travel and expense reimbursement claim to finance. I also compiled, reviewed, and submitted non-travel expense claims to finance. One of my last day to day tasks included communicating with finance regarding updates on research agreements and resulting funds. Show less
