Duties: Administration support: Provide administrative support to the COO • Ensure that documents needed prior to meetings are prepared and available • Minute taking and follow through on matters arising from meetings as agreed • Book travel and accommodation accordingly • Assist with setting up meetings and interview as required • General correspondence as and when required on behalf of the COO Project Coordination Database administration • Present database monthly reports • Database administration and approval based on trainers’ schedules • Assist with annual report statistics • Ensure learners details and results are added to the ETDPSETA and/or QCTO databases • Follow up on administrative issues with accreditation bodies Accommodation and travel bookings • Book trainers’ accommodation and ensure meal allowances are processed accordingly • Ensure trainers are provided with the required resources i.e. stationery, manuals, etc. a month in advance • Maintain and update trainers’ project schedules on a weekly basis Onboarding of new training staff • Ensure that all new training team employees have the necessary equipment i.e. functioning cellphones and laptops • Prepare induction calendar for all new trainers in consultation with the COO • Arrange travel bookings for new trainers as required Social media and website administration • Provide weekly information of project activities to Office Administrator for social media uploads • Keep ECF social platform active and up to date Events Coordination: Provide assistance for all project related events • Plan and execute all project related events in consultation with the COO • Source quotes related to the events • Liaise with internal and external stakeholders according to the event brief Show less
