• Responsibilities as the Administrative support to the Technical Assistance team for eleven HUD funded grants under the Housing and Community Development (HCD) department. • Receive and process subcontractor monthly invoices, update grant financial tracker to reflect invoice and update budget trailing costs. Process all invoices in accordance to the Net45 payment contract. • Responsible for tracking work plan progress from beginning to end. Regularly track and update work plan progress including: submissions, modifications, approvals, trailing costs, and monthly invoicing to HUD. • Maintain electronic files, work plan tracking spreadsheets, task assignment spreadsheet, charge code spreadsheet, and monthly invoicing calendar for each grant • Liaison between subcontractors and team leaders to include: creating task orders to assign work to subcontractors, work with contracts department to issue Requests for Action and Basic Ordering Agreements to procure professional relationship with new contractors. • Pull and distribute weekly labor and expense reports to team leads, track required edits, and update budget tracking spreadsheet to capture project trailing costs to report to HUD. • Compile monthly invoice package (narratives, deliverables, reports, and invoice), quality check entire package, and electronically send invoices by 30th of every month. • Set up charge code and multiple spreadsheet trackers once a new grant is won and distribute the secured funds accurately among the project budget buckets based on the grants Cooperative Agreement. • Work with my team to compile the internal invoice to HUD for all current grants to include all active work plan monthly labor hours, expenses, and a narrative explanation on the internal and subcontractor time and expenses accrued during the month being invoiced. • Financial analyst/reporting lead for part of the website project. • Trained Jr. Staff members on all aspects of our team’s activities.
