Cost Center Clerk: Manage web time entry data verification/entry. Print, distribute, collect and verify employee payroll and timekeeping documents. Coordinate and process all job forms for the school, timesheets, hiring, termination, I-9 demographics, W-4's, appropriate VISA and immigration paperwork, along with other related hiring documentation. Advise faculty, staff and student employees on issues relating to salary, benefits, promotion, faculty awards, additional assignment, out-of-class assignment, sabbatical leave, LWOP, RIP, payroll and other HR related information. Prepare labor reallocations as needed, update timesheet log and maintain confidential personnel files. Process journal vouchers, purchase requisitions, petty cash vouchers, employee and mileage reimbursements. Encumber travel authorizations and review expense reports for accuracy. Process requisitons, change orders, monitor and research incomplete documents, coordinate and resolve purchase discrepancies and returns with staff and vendors to expedite completion of orders and payments.Financial Management: Verify, audit, reconcile and monitor the status of all general funds for the College of Engineering. Monitor accounts closely for appropriate allocation of expenses and budgetary constraints. Make adjustments of budget accounts according to established guidelines; prepare reports and budget summaries of accounts as requested by the Fiscal Manager. Track and reconcile Travel and Procurement card purchases. Reconcile and adjust payroll reports as needed. Create and maintain all department general fund signature cards. Provide training as needed to faculty and staff to assist in budget resource management and tracking.Office Management: Assist with faculty recruitments including the logistical support and the hiring process. Responsible for purchase and maintenance of Dean's office equipment, furnishings, and office supply. Assist departments in coordination of college wide events.
