Duties and Responsibilities: - Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image. - Supervises and coordinates overall administrative activities for the Office Administration Department. - Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities. - Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions. - Supervises the maintenance of office equipment, including copier, fax machine, etc. - Participates as needed in special department projects. - Manages the IT department including overseeing all purchases and projects - Provides backup for front office, accounting, and administrative departments as needed - Creates office procedures which streamline efforts and maximize efficiency - Work with HR department to update and maintain office policies as necessary - Coordinate training as needed - Responsible for the facilities day-to-day operations - Create Facilities maintenance calendar - Create Facilities maintenance binder including all vendors and contacts - Responsible for creating and maintaining emergency evacuation and situation plans - Set up alarm codes for new employees and remove codes for employees who leave - Contact Konecranes when overhead bridge cranes break down.
