Accounting duties for the performance of regulatory examinations contracted through various states’ Insurance Departments. Each state had its own requirements, limits, payment processes and each exam had an individual budget to be tracked, analyzed and revised as needed. Exams were performed by independent contractors who worked both off-site and on location, whose payroll involved both hours and expenses under the company policy but only billable by the exam limits. • Performed all aspects of 1099 payroll (entry in QuickBooks and ADP website); payroll account reconciliation for year end for the accountant and verifying for tax purposes. • Trained new independent contractors in payroll submission and expense policy to reduce errors to be corrected on weekly payroll processing. • Prepared monthly invoices in Excel to bill for services provided by company; invoices built following the state limitations for billable hours and expenses. Taxes and any reductions made according to state instructions. Entered invoices in QuickBooks by invoice number for easy matching when payment was received. • Aging resolution; any invoice past due by 90 days from the sent by date prompted contact made to state department contact or examined company contact by email or phone communication based on state contract instructions. Contact made twice before passing up to COO for follow up; this was rarely needed, and no invoice went unpaid. Excel journal of contact and responses kept on an exported QuickBooks aging report. • Month and year end account reconciliation • All accounting processes (Payroll, A/R, A/P) for small sister company; INSRIS-PR, Inc.; included month end profitability reports delivered to company president and COO. Reports were built from QuickBook reports. • GAAP principals and internal controls applied to all duties Show less
