      In my current role I provide high level administrative support to the Estates Office. My responsibilities include all the administrative duties for the Health & Safety Committee such as compiling and distributing the agenda, producing and collating the Minutes for the meetings. I organise college staff to undertake the DVLA D1 driving test by coordinating test bookings with staff availability. I undertake booking rooms for adhoc events throughout the College, ordering PPE and any stationery for our department. I am the first point of contact to all visitors to the office and answer all external stakeholder calls on behalf of the team. I record all staff absence for our department on the HR Select system in the College and ensure holiday is recorded on our team calendar. I also book any hospitality as required for meetings or team events. I manage the attendance of all external contractors who attend site, checking that they complete the relevant forms, issuing them with visitor ID and ensuring we hold the relevant insurance and documents on file for each company. Part of this job is to regularly check and contact contractors if any insurance documents are out of date. I administer the helpdesk, which deals with issuing Estates jobs through the CAFM database to our maintenance team. I also prioritise the requests according to level of urgency, contacting staff by radio when emergencies occur. This ensures that the team meets agreed deadlines and SOPs.
