- Provide a regular liaison function with various senior management personnel, ensuring expectations and functions of the office are communicated clearly and efficiently. - Work with various clients, including internal personnel such as other Department Managers, senior level management and other administrative personnel, and external personnel, such as government agencies, regulatory bodies, and the like, to pass along instructions and expectations, clarifying and explaining requirements in order to provide satisfactory and agreeable responses. - Convert information received from others into required end product (forms, summaries, etc.) and keep Manager appraised of the various matters that arise or are on hand. Re-prioritize assignments to ensure the Manager's peers and senior management requests receive immediate attention. - Compose routine correspondence such as, reports, statistical data, and general administration. - Utilize personal computers, and associated relevant software applications, for example, word processing, spreadsheet, project management, electronic E-mail, calendar, presentation and organization chart preparation packages and telecommunications equipment to prepare documentation. - Compile data and generate reports, monitor actions, notify appropriate assignees, initiate and complete required forms for signature, maintain records. - In keeping with the Manager's emerging priorities and deadlines, and requests by Executive/senior staff, make all necessary arrangements for meetings. Ascertain agenda items for scheduled meetings. Develop the agenda based on standard or emerging items. Arrange for or set up all equipment necessary for an efficient and effective meeting.
