• Welcomes patients and visitors by greeting them, in person or on the telephone; answering or referring inquiries in a manner that is helpful and friendly; determines the purpose of visit or phone calls and direct patients/visitors to appropriate person.• Maintains patient waiting areas, office files, and front-desk areas in a manner that are organized and neat. • Performs day-to-day administrative functions and general office duties including but not limited to word processing, copying, filing, faxing, answering phones and data entry.• Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone and provides information to Clinic callers according to the Clinic’s Policies and Procedures manual; transfers calls as needed; communicates with all Front Office Coordinators to ensure adequate phone coverage at all times.• Schedules patient flow to clinic based on predetermined appointment arrangements to allow the clinic to serve an adequate number of patients as established by grant requirements.• Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.• Ensures availability of treatment information on patient’s electronic charts by obtaining, recording, and updating personal and financial information.• Assist the Billing Department on obtaining revenues by recording and updating financial information and recording and collecting patient’s responsibility. • Informs patient of any existing balance noted in computer or balances indicated by the Billing Department and request the patient to be prepared for any payments due at the time of their visit.• Maintains office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies, ensuring that supplies are ordered and verifying receipt of supplies.
