Day to day processes in this role include checking requests for parts & allocating from stock. Certain requests involve raising purchase orders and sending on to trusted vendors. In some cases manually sourcing the parts is necessary, so scouring the market for the best deals without compromising on quality. Deliveries are organised by our desk according to the engineer’s requirements. Parts are either dispatched to drop off points or actual site locations. However, cost impact is something I carefully consider when arranging the deliveries. I also aid in the replenishment process on this desk, raising orders for spares that we most commonly keep at holding locations nationwide. Once completed, the various personnel at locations that stock is going in to are notified and told when to expect fulfilment. The purchasing process involves working within budgets for both stock buying and parts/spares buying, which is carefully monitored monthly. I was able to build and develop relationships with suppliers and have kept regular contact with them by means of email and phone. Obtaining PODs for Hardware and Licensing orders was another day to day function. This is due to the fact that our team also managed the invoicing of the customer base, so we booked in all goods from our desk. The role also entailed looking after new contracts & setting these up, or renewing existing contracts using our system (Tesseract). This involved some uploading of new kit on to the system and the inputting of vital details such as location, serial numbers and service level details. I was accountable for managing our inbox for all new orders and took responsibility for logging these, acknowledging them and helping to process them once all relevant documentation had been received. With this particular responsibility, there was a lot of contact between myself and the sales team in instances where documentation was missing. Being an assistant buyer was something of a fresh and welcomed start for me, and something I will definitely look back on with a lot of fondness. I have been able to develop my knowledge of how a supply chain works and enabled me to develop my understanding of end to end purchasing processes. Being involved in financial analysis on a day to day basis, it meant that I was a part of making important commercial decisions. This included analysing cost impact of price increases when considering… Being an assistant buyer was something of a fresh and welcomed start for me, and something I will definitely look back on with a lot of fondness. I have been able to develop my knowledge of how a supply chain works and enabled me to develop my understanding of end to end purchasing processes. Being involved in financial analysis on a day to day basis, it meant that I was a part of making important commercial decisions. This included analysing cost impact of price increases when considering company spend, long term effects and growth potential when investing in certain products as a result. Objectivity was also key in this role as it was easy to look past these things in order to do favours for those inside the business.I was able to build and utilise my negotiation skills when speaking to suppliers during my time here, and this served me well in the role. At times it was something of a challenge, but I enjoyed it and it was rewarding when the right result came of my efforts. The changeability in this role is something that I enjoy too. Other aspects of my role stretch to dealing with price queries, negotiating carriage charges and updating in house systems with updated parts/price information. Liaison with Operations is also key, making sure that the logistical side of the business is ticking so that accounts can pay suppliers on time; this includes asking our stock integrity managers to confirm receipt of goods via our in-house system. The involvement from myself on this side of things plays a key part in ensuring that as a business, we are always one step ahead of our competitors as it allows us to in-fleet our products more rapidly. Worked on this help desk as part of a team that were 2nd line support to a call centre. It was set up to assist food stores with stock issues. The bulk of calls we got related to stores either receiving too much or too little of one or more lines. My role was to investigate these queries by looking at book stock, sales and where necessary waste figures to determine the validity of a store query.
