Reception Duties, Answering of telephones ensuring that all users of the service are greeted, recorded and directed to the appropriate location. File redacting and copying – having requested the original files, helped with copying and then created duplicate files as required by the process and then ensured the original files are returned to archive to ensure that Data Protection is adhered to at all times. Room bookings for professional meetings and personal supervisions –ensuring all parties are informed of the room numbers and amending these as required in a timely fashion. Taken messages from professionals and young people in staff absence and ensuring that staff are provided with accurate information to reply to these messages – i.e. provided name, date/time of call, return contact details and information regarding the issue if applicable. This has then been communicated by me to them via email. Typing of confidential documents including supervision notes from handwritten notes – I have ensured that these are recorded electronically on the correct file and highlight any inconsistencies on staff notes so they can use this to check and approve them. Maintained up to date records for the petty cash system and financial request that are submitted. Provided a general business support for the team including filing, postal duties, basic financial and statistical records, ordering equipment and stationery through the P2P system, arranging meetings through Microsoft Outlook calendars and events when requested.
