      My day to day involves working closely with different internal and external stakeholders for a multi-site venue. Internally this includes the kitchen, operational and event design team. External clients are the Royal Botanic Gardens Edinburgh, suppliers and direct clients. I work alongside all these teams to deliver the best Event & Catering experience. As I work in several departments, my responsibilities are varied and include the following: Event Design: As part of the Event Design Team, I support the short-lead event planning at Royal Botanic Edinburgh as well as managing all internal events, with the short lead events averaging around 20 a month. This ranges from wedding ceremonies, funeral receptions, meetings, conferences and lunches. Responsibilities include: • Prepare and issue contracts and invoices with CRM system Priava • Design the event with the client by giving advice and support • Sell catering packages and upgrades • Contact clients' event suppliers to arrange delivery and request PLI/PAT certificates Operational: As part of the Operational team on site, I ensure they have all the items required to run the event smoothly. • Creating event files and ensuring they are complete and up to date • Creating food sheets and informing the kitchen of upcoming events and its catering requirements • Placing orders based on event requirements, such as security, linen and inventory (tables, ccg, etc.) • Update the client RBGE on event updates, client event suppliers and confirm security bookings • Post-event, update the client Royal Botanic Gardens on the running of the event as well as update the dedicated Event Designer on any account bars Finance: • Forecasting the monthly incomes and expenditures • Receiving invoices and processing these on E-Prophit • Process account bars on E-Prophit • Issuing PO numbers • Record and allocate client payments • Register internal event costs to be invoiced • Calculate food and chef cost price per event Show less
