Procuring Stores, Spares, Bunkers, Gases & Chemicals as per the requirement of the vessels Quote comparison for supplies with minimum three Vendors Processing Purchase Orders in accordance with the approval obtained from technical superintendent & Purchase Manager Maintain close liaison with suppliers on production capacities, readiness and material supply Consolidate shipments for dispatch and following up with freight forwarder for consignments accordingly Following up with the agent/frieght forwarder for timely delivery of material on vessel Keeps the Technical Superintendent and Vessel Senior Officers updated on arranged Services as well as any Procurement as applicable Assists in the follow up on the service/repaire arrangement as arranged by Technical Superintendent by way of issuance of timely Purchase Orders, Logistical support etc. Verification of Invoices submitted by Vendor as per PO terms along with Delivery challan & Installation certificate, work completion sheet & service report.

Assists in monitoring all the Monthly Reports from the vessel. Assists in the follow up on Lubricating Oil/Bunker/ Boiler & Cooling Water Analysis Reports. Highlighting any deviations to the respective Technical Superintendent and Vessel for follow up action Keep Certification PAL updated for each assigned vessel Collates the necessary data required for the preparation of Owners Reports. Assists in the follow up on the service/repaire arrangement as arranged by Technical Superintendent by way of issuance of timely Purchase Orders, Logistical support etc. Assists in the arrangements for necessary services for Annual Surveys (Safety Equipment/Radio Surveys/Lifeboat & Davit Service etc.) Communicates with Classification Societies for Annual & Occasional Surveys as directed by the Technical Superintendent. Assists in the arrangements for Annual and Routine Servicing of Vessel’s Equipment (Gas Instruments/MMC Tapes etc.) As far as practicable ensure that all service arrangements are carried out by approved and/or contracted vendors. Assists in issuing the necessary Purchase Orders for services prior to the service delivery. Assists with the follow up with vendor service delivery and update Technical Superintendent in case of potential problems, which will affect approved costs. Supports the vessel for ‘ad hoc’ & ‘emergency’ purchasing requirements as requested. Assists to ensure that purchasing is done with approved and/or contracted vendors at the contracted prices. Assists in the review of the monthly ASBA and highlights significant deviations to the Technical Superintendent.
