This can be done via email or a call, but if the client is called a follow up email should be sent stating “as per our conversation”. • If a quote is declined it should be indicated accordingly on SAGE.• Once a client advises that the quote has been accepted an invoice needs to be issued immediately before training is booked on the training board. • All training dates requested / confirmed by clients must be written on the training calendar immediately as to avoid double bookings.• The training board should be up to date at all times so any person looking at the board with have the correct information.• Once a month (the last week of the month) an email must be sent to clients who’s training is expiring in the following month to remind them of the certificates expiring.• Print tender documents.• Prepare quote.• Prepare all supporting documents.• Submit tender on time, before closing date.• Filing of quotes and invoices to be done on a daily basis before the end of the day.• Quotes to be removed from the quote file and added to the relevant invoice as soon as the invoice is issued.• Assist in any general office work as required.Performance Indicators:Quote sent on the same day the enquiry was received.Do weekly follow ups on all quotes sent.Invoice as soon as training in confirmed / booked.Update the training calendar as soon as booking is confirmed.Email clients once a month a week before month end.

Job description for an Intern in the Tender Department. My responsibilities are as follows: Working closely with the Manager or Tender Coordinator within the tender team and completing all allocated tasks. Gathering information through reading tenders and determining which documents are required. Calling other departments to obtain information on requirements for tender submissions. Collecting documents from other departments required for tender submissions. Entering all tenders in tender register and tender board with relevant dates, ie. Submission date, Tender briefing date, Closing questions date. Liaising with clients for tender queries. Updating documents and loading documents on Sales Folder. Preparing small RFQ’s for BDC’s. Sending follow up emails to confirm receipt of tenders where required. Binding of documents as well as laminating. Doing tenders on Ariba Sap Online Portal. Answering and taking down telephone messages. Uploading updated legislative documents on the client’s portal. Completing monthly spreadsheet for Tenders. Uploading of Tenders on new electronic system. Reading through the Business Times for new Tenders. Attending of meetings to discuss Tenders (how they need to be put together, what changes have been made by the client, if there’s any etc.) Assisting the BDC’s to put together quotations for clients. Updating login details on our client’s portal. Making sure all relevant information such as telephone numbers, dates, follow-up documents are available. Meeting deadlines for completion of work. Attending training sessions within the department. Dealing with problems or enquires on the telephone.
