The Executive and I joined the DEI International team in Spring 2021. Starting as the only members of the team across APAC, LATAM, EMEA, together we built the foundations of the team, from the initial team org chart, strategy presentations, and a shared document collaboration site, to writing up job specs, interviewing, and recruiting 14 new team members. The position involved working closely with the US on a global level.- Traditional EA duties on a daily basis, such as calendar management, International travel, events, expenses- Managing attendees, agendas, and logistics, at all recurring meetings, while anticipating conflicts. Capturing notes, action points and key decisions- Learning about and developing processes to improve rhythm of business- Managing onboarding of new team inc tech, phones, intro to platforms and processes, intro PowerPoint slides, intro meets to key stakeholders- Collaboration with BRGs, Executive sponsors, comms, L&D, wellness, external agencies, to host National Inclusion Week, designed to showcase everyday inclusion in all its diverse forms. Scheduled programme of events, tech links, speakers, learning modules, handouts, all within budget, and a collaboration event to celebrate its success.- Retrieving employee survey results from Perceptyx for presentations and reporting- Team Amex card holder, seeing through the payment process for all BRG spend in line with budget.- Concur expenses & accruals. Providing PA support to the Head of New Build Projects, plus four project managers involved extensive diary management, reminding the team of upcoming meetings and the need to book flights and accommodation in advance, in order to secure availability at their chosen hotels. Following up with business expenses on return within two days. Comprehension of the structure and practices of the company and sound understanding of the role of the Head of New Build, enabling me to follow-up and communicate instructions across the team and the Engineering Department as well as liaising externally with customers and suppliers. Setting-up and managing the in-house support systems for smooth running, best practice and quality control within the department, e.g. AIMS a web-based system used for collaborative knowledge management which allows sharing and publication of work in a central location. Responsibility for logging and monitoring HR management information for the team (sick leave, annual leave etc) including reporting to RBS Group HR. Covering Director’s PA. As a long standing PA at Angel Trains, I kept a flexible, helpful approach to the newer less knowledgeable PAs and engineering graduates. Took on extra work load above my remit, e.g. Graduate Scheme Coordinator (explained below). See through the recruitment process when filling Graduate Engineer posts. Advertising post, collating CVs, scheduling interviews, accept/decline letters, conducting interviews as an accredited interviewer for the Royal Bank of Scotland Group, following the RBS screening process, negotiating salary, inducting new starters, liaising with mentors and keeping a smooth running graduate scheme; including the three yearly reaccreditation with the Institute of Mechanical Engineers.
