Clerical ESSENTIAL DUTIES 1. Assist engineers in creating parts lists by entering supplied data into the Parts List database system. Using drafts and markups from engineers as input, transfer data into the system accurately and in consistent style. Assist in maximizing system value and productivity by recommending improvements to the system, workflow and data received from the engineers. 2. Assist engineers in creating purchase requisitions by entering supplied data into the electronic Requisition Form. Seek accuracy, consistency and improvements, as discussed with parts lists. Use the File Management systems to look up and retrieve any documents needed to accompany the purchase requisition: parts lists, drawings, specifications, etc. Once approved, distribute the compiled requisition in electronic and/or hard copy formats, as specified, to the Purchasing Coordinator and the Engineering Department Contract File. 3. Assist engineers in creating and distributing electronic and hard copy Installation, Operation and Maintenance Manuals. Seek accuracy, consistency and improvements, as discussed with parts lists. Use MS Word and Excel to develop customized title pages, revision tracking sheets and tables of contents. Use Adobe Acrobat to create electronic manuals, complete with bookmarks and bookmark-to-page linking. Avail and secure all manuals within the File Management systems. Coordinate the reproduction and shipping efforts in expediting on-time transmittals. 4. Perform data entry and maintenance of other engineering and business systems, as required. These systems include, but are not limited to, the Document Registration and Product Database systems. In an advisory capacity, assist in the development of workflow guidelines and system usage procedures. 5. Perform other technical-clerical and general-clerical duties as required.
