• Recording, checking and tracking all incoming and outgoing project documents; • Ensuring appropriate personnel (including project personnel and subcontractors) are issued with up-to-date documentation; • Ensuring all management system documentation is the latest version and easily accessible; • Identifying superseded documentation and removing from point of use (destruction of these documents to be approved by appropriate contracts manager); • Updating document/drawing registers and obtaining relevant approval for issue to projects (internal and external); • Collecting, collating, filing and archiving of management system records and project documents; • Maintaining relevant registers and libraries including the: document control, project correspondence, project drawing and project RFI registers; • Filing libraries including the Master files library (hard copy & electronic), project technicallibrary and the standards library; • Preparing regular project reports for the Alliance Project Manager with current registers; • Ensuring that all documentation is transmitted in accordance with the project guidelines. • Planning and scheduling own work to meet required timelines and outputs; • Managing the implementation process of the inCITE Document Management System to ensure that it fully supports the document management requirements of the project; • Maintaining the inCITE Keystone Master Lists and performing or overseeing post release improvements to the inCITE configuration, rules, roles, filters and other components to maximise its effectiveness; • Monitoring inCITE usage trends by project staff to ensure that this tool remains fully utilised; • Managing the inCITE member lists, adding new users and maintaining currency by regular member reconciliation; • Manage defects in inCITE and Scenario; • Manage A1 AFC stick files; • Provide Quality Assurance assistance; • Archiving of project records.
