      I am Ultima's Office Manager and responsible for the efficient running of our day to day operations, ensuring key performance indicators are met and concerns are dealt with in an effective and timely manner. Responsibilities:• Point of contact for the DSA students, parents and HEI staff, dealing with email and telephoneenquiries, managing the booking system and maintaining the appointments database includingmonitoring assessments and short notice cancellation appointments, and face to face bookings forassessors.• Dealing with correspondence by drafting and sending emails to provide relevant information, managing queries submitted to the inbox from funding bodies and providing follow up to students. Tracking and responding to queries where required to ensure they are responded to in a timely manner and ensuring all students have received their entitlement letter and relevant support.• Liaising with all staff members, keeping records, maintaining databases and ensuring standards arecustomer-focused and in keeping with Ultima Education’s ethos at all times.• Liaising with suppliers of DSA equipment, assistive technology training, non-medical helper support and ergonomic equipment.• Payroll – collation of payroll information.• Invoice management of invoices received, sending, logging and queried.• Collation of student documentation in advance of their appointment.• Processing and sending of Disabled Students’ Allowances Needs Assessment Reports to the variousfunding bodies to the highest standard in a quick and efficient manner.• Training of new and existing admin staff.• Planning and coordination of two annual CPD days alongside remote events for all staff.• Keeping all employee records up to date, including the organisation of DBS checks, and supportingjunior employees and existing employees where required.• Ensuring all equipment (both hardware and software) is up to date and available for assessors todemonstrate in face to face assessments.
