In this fast paced setting, I greet and register our patients, answer the continuously ringing phone lines and schedule appointments, generally twice a week for 8 to 12 weeks at a time. I prepare all necessary patient forms, scan ID and insurance cards, request authorizations and referrals, as well as interpreters for our non-English speaking patients. Because we are a paperless office, I scan all necessary forms into the patients’ chart, including registration forms, therapists' chart notes, referring physician chart notes and referrals. I contact all potential new patients on an hourly basis in order to provide high productivity, print the daily schedule, sign in sheet and reconcile the payment log for that day.

Being the first point of contact, I welcomed our patients with my professional, friendly demeanor. I delivered the highest level of customer care while assisting with the registration process, managed the electronic appointment schedule and verified or obtained their demographic and insurance information. I also prepared patient charts, verified vision benefits, collected co-pays and payments, ordered contact lenses, sold frames and lenses, and adjusted and fit eye-wear. I assisted with vision testing prior to the doctor’s examination, where I utilized equipment that took measurements of the patients eye, in order to provide the doctor with a starting point for their current prescription; another that dispensed a puff of air into the eye that checks for Glaucoma and another that took photos of the back of the eye in lieu of being dilated. I documented that information in the patient chart electronically and on paper, and relayed any concerns the patient might have to the doctor.

I was an all-around administrative assistant and the "go to" person in this position, which I highly enjoyed. Some of my responsibilities were managing multiple phone lines, transferring calls appropriately, greeting and directing our clients, processing mail and FedEx including weekly international shipping and maintaining our database of sub-contractors. I also paid supplier invoices for our office and four different job sites; scheduled necessary training sessions, coordinated conference room meetings with food and beverage service, planned all company functions including motivational and recreational events, negotiated our office supply contract and made travel arrangements for management; as well as inventory management and office equipment maintenance.
