Administrative Assistant and Firm Administrator for a small CPA firm serving about 350 individual clients and about 120 corporate clients: • Responsible for keeping the office running smoothly so that the CPAs can file taxes for their clients in a timely fashion. • Collate and mail out tax returns to ensure that the clients receive a copy of their tax return with instructions on signing/returning efile forms for filing and for paper filing (if necessary). • Running 2 to 3 payrolls 2X a month in ADP so that all the employees get paid. • Fill out and file Powers of Attorney (both Federal and New York) to enable the CPAs to speak to the IRS and NYS to resolve client issues. • Billing clients using Sage50 and now Firm 360, depositing checks and processing payments when they arrive. • Accounts receivable collections to follow up with clients about past due invoices. • Scheduling CPAs out to clients for monthly accounting work, audits, reviews and compilations. • Monthly bank reconciliations for the 2 partners to balance the books. • Cutting and mailing checks weekly for a non-profit whose treasurer who is one of the CPAs. • Onboarding of new employees and coordinating necessary training to get them up to speed. • Supply ordering and stocking kitchen and file room so that nothing runs out.
