Open new file for a new recruit within 3 working days of receipt of his employment letter and other supporting documents. • Ensure that staff files contain all relevant information as defined in the ‘staff file checklist’ • Update staff files as required with copies of all HR related correspondences within 3 working days of receipt. • Ensure that staff records are easily retrievable • Maintain a database of existing and ex-staff data profile. • Ensure that the File cabinets are kept tidy at all times and employee’s records are always safe and secured. • Liaise between HR/Admin and Finance on vendor payments and IOUs • Keeps a record of HMO registered staff and help to obtain Medical Card • Send out reference letters as requested • Types and send out departmental minutes of meeting. • Handles Birthday, Childbirth and Weddings gifts for staff. • Processing of staff confirmation as at when due. • Prepare Engagement letter for both contract and permanent staff, as well as processing the renewal of contract for contract staff whose contracts are due for renew. • Handling of staff disciplinary issues by reviewing, analysing and instituting processes of sanctions required for every punishable act of staff brought to the attention of HR • Ensure that the File cabinets are kept tidy at all times and employee’s records are always safe and secured. • Liaise between HR/Admin and Finance on vendor payments and IOUs. • Recruitment and on boarding logistics. • Leave administration. -Leave plan schedule -Ensure approvals are given -Send out leave advice • Planning and delivering induction training for new staff. • Contributes to team effort by accomplish related results as needed. • Sends out reference letters as requested.
