      •Maintain and update all financials (ie: staff and principal payroll, Simple IRA and insurance deductions-allocations, accounts payables, receivables, invoice tracking, job costs and profits, P&L reports, balance sheets, and monthly financial statement reconciliations). •Assist principals and project managers in drafting, editing, and distribution of subcontracts, memos, reports, change orders, and proposals. •Management of all bid proposals via Procore and Planhub. Management includes but is not limited to preparing all bid documents per job specifications, initiating each bid request being sent out to potential subcontractors, preparing all blueprints and specifications ready for project manager review, receiving, and distributing proposals from subcontractors, addressing all addendums, and assisting with any correspondence. •Assist project managers with project submittals, including record keeping and tracking of submittal logs as needed. •Solely responsible for preparing, organizing, and distribution of all closeout documents required per completed project. This includes in-depth examination of project specification requirements, ensuring all documents cover architect-owner requirements for warranties, O&M manuals, training videos, attic stock, and other job specifics. Well versed in state and municipal closeout requirements. •Preparation and management of all yearly tax preparation for CPA reviewed financial statements, tax filing requirements, quarterly CPA and Surety financials, commercial insurance audits, and health insurance renewals. •Perform routine clerical tasks such as mailing, copying, faxing, and scanning. Maintaining all office equipment, and restocking of supplies. •Coordinate and schedule all OAC meetings, including recording and distributing all meeting minutes. •Maintain all records for internal personnel, vendors, suppliers, and subcontractors. •Manage all new employee desktop computers, laptops, emails, and coinciding work accounts.
