To coordinate with the academic and administrative departments and maintain updated records on inventories of the campus and produce reports on periodic basis (Stationary, IT, Library, Laboratory, Furniture etc.) To actively participate in inventory management of stocks maintained by the procurement department (Stationary, Furniture, Pantry etc.) To ensure that the campus shuttle service operated as intended. To ensure the timely renewal of insurance and licenses related to vehicle are completed. To coordinate with faculties and departments to provide/ arrange facilities required to run the routine operations at the campus at optimal standard. To actively engage in the processes of purchasing of goods and services to the campus. Coordinate with finance department to arrange payments (advance/ full) for the supplier and to obtain payment confirmation for suppliers from the finance department. - To maintain the records related to purchasing process (PR, documents related to calling quotations/ BIDS, evaluation sheets with approvals, PO, delivery note, GRN/service note, invoices, GIN and other relevant supporting documents) and submit necessary documents to finance department. Seek new suppliers on regular basis and maintain an up-to-date supplier database. To handle supplier registration, maintain a database of registered suppliers and conduct supplier ratings on a periodic basis. To maintain a good relationship with the supplier and ensure the smooth operational purchasing process. To actively involved in completing the processes related to the clearance of goods related to importations by coordinating with external institutions (SL customs/ Govt. institutions).
