Follow Oklahoma’s accounting and budgetary policies set in place to facilitate proper ethics and guidelines for how to process various tasks to prevent any negative impact on stakeholders. Audit and approve requisitions by verifying the information on the invoice or contract is valid. Verify that the expense account has enough funds in the ODOT financial system to support the obligation. Research the object code matches with the requested service or utility. Submit the requisition to procurement. Enter in or adjust budgetary and accounting data in ODOT’s financial system for accounts payable. To do this, I have to verify and gather the data by looking into multiple databases used at ODOT to compile a backup file. Audit and approve accounts payable claims by verifying the information on the claim matches with the invoice. Check that the expense account being used has the proper amount to make the payment and transmit the claims for the accounts payable daily process. Verify travel receipts for payments in Works Financial System. Run reports and queries in Peoplesoft such as: asset tracking, payroll withholding, voucher build and voucher tracker. Prepare journal voucher entries for purchase card payments, prior year transactions and any adjustments as required. Prepare and provide financial information to help the division management as requested. This can include doing warrant cancellation or reissues and pulling prior year claims for audits being done by another state agency. Run payroll withholding process to transmit funds to external vendors for employees. Communicate with assigned agencies to help with resolving any issues they need addressed. Helping new employees navigate entering claims or submitting requisitions and change orders. Show less
