About the Position:Manages the coordination of projects, programs and administrative functions required to support a range of activities for formal and informal learning groups in the Access and Learning Section of the NPGA. The role has an emphasis on programs related to the collection for the broad education sector as well as some short-term interpretative projects for a diverse audience responding to special exhibitions as required. Well-developed communication and negotiation skills are necessary. The occupant of this role is also a senior program deliverer to education and public audiences. Some irregular weekend work is required – up to 12 programs per annum which will be addressed by TOIL in consultation with the Manager, Learning Programs.Duties include:1. End to end coordination and delivery of programs to formal and informal learning groups in the gallery, maintenance of a high level of expertise and technical knowledge, educating and mentoring of best practice in delivery to less experienced staff;2. Preparation, delivery and evaluation of forward plans, schedules and budgets for learning programs in the gallery and online;3. Organisation of events, including identifying themes and speakers, scoping and administrative tasks (eg, briefing sheets, expenditure approvals, Business Catering requests) and liaison with internal stakeholders;4. Assistance with preparation of contracts, and direct liaison with artists, speakers, performers including organisation of travel and accommodation for guests, negotiation and liaison with organisations in cultural partnerships with the Gallery involving complex stakeholder requirements;5. The Learning Facilitator works as part of the Access and Learning Team delivering accessible and inclusive programs across the areas of public learning to both formal and informal sectors (students, children, families and adults), and visitor services as part of the front of house team. The role demands a deep interest in people, portraiture and Australian history, delivering service and programs to diverse audiences. Learning Facilitators contribute to the development and delivery of outreach and online programs in addition to programs based at the National Portrait Gallery. Preliminary research, planning, analysis and reporting, as well as point of sale are administrative functions of this position. Learning Facilitators work on a roster to cover the Gallery opening 364 days per year including some weekend work, public holidays, and occasional after hours work. Specific tasks:• Delivering public learning programs and interpretation to a wide range of audiences including school groups• Providing a range of front-of-house services • Perform research into the design and development of programs; administrative support contributing to formal and informal learning programs including online, as directed. Working within an assigned budget, and maintaining an accurate running budget• Contribute to the development of learning materials• Performing administrative functions related to the operating aspects of the Gallery’s front-of-house and project and program development including point-of-sale (Tessitura), recording of statistical data and file management • First Aid Officer and Evacuation and Fire Warden• Providing support to other Gallery functions including openings and other events• Manual handling
