Supervise activities of housekeeping service; develop and implement cleaning schedules; conduct continuous inspections to ensure high level of service and adherence to contract specifications. Investigate and resolve all housekeeping issues, complaints and requests for additional services. Supervise and assign duties to full-time Senior Facilities Services Administrative Assistants and staff of part-time maintenance technicians; prepare periodic performance evaluations. Coordinate and schedule all maintenance operations. Oversee the scheduling and completion of maintenance of all (non-computer) office and communication equipment; schedule, monitor and document all outside service technicians when necessary. Monitor and maintain inventory on all housekeeping and basic office supplies and equipment; negotiate with vendors to obtain optimum pricing and volume discounts. Review and approve all vendor invoices prior to submitting to accounts payable department. Oversee and coordinate schedule of meeting reservations for six conference rooms; handle all specialized set-up arrangements. Monitor building HVAC systems to ensure most efficient operating schedules. Develop and implement monthly, quarterly and annual preventive maintenance schedule of all critical systems. Oversee activities of building security staff to maintain 24/7 surveillance operations. Provide 24/7 support for all normal and emergency building systems in absence of Director of Facilities.
