My current responsibilities as Office Manager include: - Executive Assistant to Owner/Principal - Payroll: Input employee timesheets into Excel spreadsheet, and use Heartland payroll portal to input all employee hours and run payroll. Set up new hires in payroll and direct deposit. Any changes to employee information is performed by me. - 401K: Process employee 401k contributions using Excel and completing Census information then uploading into broker portal -HR: track employee vacation, sick, and personal time; manage employee life insurance, health insurance, dental insurance; manage the company handbook; handle all new hires; handle employee issues - Billing: perform all job billing for the month using BillQuick and Excel. In charge of updating the WIP (work in progress) for all job billings and maintaining the Excel sheet for the total amount of monthly billing. -A/P & A/R: in charge of collecting all past due monies and keeping a spreadsheet of all billings. Once received, they are then put into BillQuick and Quickbooks. - Bank Deposits: once checks are entered into Billing systems, I am responsible for performing Bank Deposits for the company. - Social Media: I am in charge of completing the Social Media posts via Twitter, Facebook, and Linkein per the direction of the owner. - Proposals - in charge of using Adobe Suite (InDesign) to complete Proposal layout and complete packet to submit. -IT: in charge of setting up new desktops/laptops for the company; in charge of installing and ordering of all software; maintaining the NAS and other IT hardware; helping employees with any issues on their computers; setting up new Bluetooth/Smart Electronics. - Office Manager: answer all phone lines, sort mail, order supplies, keep office tidy, maintain copier, support Engineers in Office, make sure everyday office functions run smoothly; Keep track of all PO's and Project Contracts; in charge of Data Collectors and setting up data collection for projects, etc.
