- Writes and types letters, assists in preparation of presentations - Coordinates onsite and offsite meetings, Board meetings, and other events. - Prepare expense reports for executives. - Copies, scans into PDF, faxes, and files documents. - Schedules travel, and in coordination with relevant personnel, arranges for flights, hotels, and rental cars. - Processes incoming and outgoing mail and packages. - Manages administrative operations of the office, office supplies, office service vendors (e.g., cleaning and repair), kitchen and kitchen supplies, and copy room. - Maintains personnel files (on a confidential basis) and master files of non-disclosure agreements for employees and contractors. - Maintains file of corporate contracts. - Performs other tasks as requested within the customary scope of an Administrative Assistant - Maintains Device Master Record, Device History Records, Design History Files, outside standards, and other quality records in designated locations. - Responsible for the formal preparation and processing of proposed design changes to all controlled documents in the form of Document Change Notice (DCN's). - Assigns control numbers to DCN's, engineering drawings, procedures, specifications and other controlled documents. - Reviews DCN packages to ensure all items are formatted properly per company policies and guidelines. - Ensures the required cross-functional approvals for DCN's are obtained prior to processing. - Maintains status and tracks progress of all DCN activity. - Upon approval, incorporates or coordinates incorporation of all DCN changes. - Responsible for distribution of all controlled documentation to designated location/departments and retrieval of previous document revisions in the document library. - Responsible for maintaining employee training records and logs and for coordinating company quality system training programs.
